Chapter 13: Billing & Subscription

Overview

Aircraft-logs.com uses a subscription model based on the number of aircraft you track. This chapter covers subscription management, billing, and payment information.


Pricing Structure

Per-Aircraft Pricing

  • $15/month per aircraft (billed annually at $180/aircraft/year)
  • Price adjusts automatically as you add or remove aircraft

What's Included

Each aircraft subscription includes:
- Unlimited logbook entries
- Unlimited document storage
- Component tracking
- AD compliance tracking
- Schedule management
- 100 AI messages per month
- 50 OCR pages per month

Additional Purchases

If you need more:
- AI message credits
- OCR page credits
- Available in your billing settings


Starting a Subscription

New Account

After creating an account:

  1. Add your first aircraft
  2. You'll be prompted to subscribe
  3. Enter payment information
  4. Subscription activates immediately

Free Trial

(If available)
- Try the service before committing
- Full access during trial
- Subscribe before trial ends to keep data


Managing Your Subscription

Viewing Subscription Status

  1. Click your profile menu
  2. Select User Profile or Billing
  3. View:
    • Current plan
    • Number of aircraft
    • Monthly/Annual cost
    • Next billing date

Adding Aircraft

When you add an aircraft:

  1. Your subscription quantity increases
  2. You're charged a prorated amount for the current period
  3. Future renewals include the new aircraft

Proration example:
- Mid-cycle addition = partial month charge
- Full amount added to next renewal

Removing Aircraft

When you remove an aircraft:

  1. Subscription quantity decreases
  2. Credit applied to your account
  3. Future renewals are reduced

Note: Deleting an aircraft removes all its data permanently.


Billing Cycle

Annual Billing

  • Charged once per year
  • Covers all aircraft for 12 months
  • Best value

Renewal

  • Automatic renewal on anniversary date
  • Charged to payment method on file
  • Email notification before renewal

Changing Billing Cycle

Contact support to:
- Switch between monthly and annual
- Change renewal date
- Special arrangements


Payment Methods

Accepted Payments

  • Credit cards (Visa, Mastercard, American Express, Discover)
  • Debit cards
  • Payment processed securely via Stripe

Updating Payment Method

  1. Go to Billing settings
  2. Click Manage Payment Method
  3. Enter new card information
  4. Click Update

Payment Security

  • Card information stored securely by Stripe
  • Aircraft-logs.com never sees full card numbers
  • PCI-compliant payment processing

Invoices & Receipts

Viewing Invoices

  1. Go to Billing settings
  2. Click View Invoices or Billing History
  3. See all past transactions

Invoice Contents

Each invoice shows:
- Date and invoice number
- Description of charges
- Amount charged
- Payment method used

Downloading Invoices

  • Click on any invoice to view
  • Download as PDF
  • Print for your records

AI & OCR Credits

Monthly Allowance

Your subscription includes:
- 100 AI messages per month
- 50 OCR pages per month

Tracking Usage

View your usage:
- In the chat window (AI messages)
- On upload forms (OCR pages)
- In billing/account settings

Purchasing Additional Credits

If you exceed your monthly allowance:

  1. Go to Billing settings
  2. Click Purchase AI Credits or Purchase OCR Credits
  3. Select a package
  4. Complete purchase
  5. Credits are added immediately

Credit Expiration

  • Purchased credits don't expire
  • Monthly allowance resets each billing cycle
  • Purchased credits used after monthly allowance

Subscription Changes

Upgrading

Adding more aircraft automatically upgrades:
- Quantity increases
- Prorated charge applied
- More features unlocked

Downgrading

Removing aircraft downgrades:
- Delete aircraft you no longer need
- Subscription adjusts at next renewal
- Credit may be applied

Pausing

Contact support to pause:
- Temporarily stop billing
- Data retained
- Resume when ready

Canceling

To cancel your subscription:

  1. Go to Billing settings
  2. Click Cancel Subscription
  3. Confirm cancellation
  4. Access continues until period end
  5. Export data before access ends

After cancellation:
- Data retained for 30 days
- Reactivate within 30 days to restore
- After 30 days, data is deleted


Refunds

Refund Policy

  • Contact support for refund requests
  • Prorated refunds may be available
  • Case-by-case basis

Requesting a Refund

  1. Email support@aircraft-logs.com
  2. Include your account email
  3. Explain the reason
  4. We'll review and respond

Common Billing Questions

Why was I charged?

Check your billing history:
- Subscription renewal
- Aircraft addition
- Credit purchase

How do I get a receipt?

  1. Go to Billing
  2. View invoices
  3. Download or print

Can I get a business invoice?

Contact support for:
- Business/company invoices
- Tax-compliant documentation
- Alternative billing arrangements

What happens if payment fails?

  1. You'll receive an email notification
  2. Retry with updated payment method
  3. Grace period before service interruption
  4. Update payment to restore access

Tax Information

Sales Tax

  • Charged where applicable
  • Based on your location
  • Shown separately on invoices

Tax Exemption

For tax-exempt organizations:
- Contact support
- Provide exemption documentation
- We'll adjust billing accordingly


Support

For billing issues:

- Include invoice numbers if relevant
- Describe the issue clearly
- We typically respond within 1 business day
